Privacy Policy
Introduction
It applies to www.ephotonenergy.com and to the personal data we handle when you contact us, request a quote, request an investor pack, subscribe to our updates, attend an event we run, apply for a role with us, or deal with us as a customer, partner, supplier or investor.
We are committed to handling personal data lawfully, fairly, transparently and securely. Please read this Policy so that you understand what we do with your information and what rights you have.
Why is ePhoton processing your personal data?
We process your personal data for the following purposes:
-
To reply to enquiries, quote requests and investor pack requests
-
To assess, negotiate and deliver projects and commercial agreements
-
To manage our relationships with customers, partners, financiers and suppliers
-
To send you updates about our technology and projects, where you have asked for them
-
To register and run our events and webinars
-
To keep our website secure and working properly, and to understand how it is used
-
To assess job applications
-
To meet our legal, tax and accounting obligations, and to defend legal claims
Depending on the purpose, we rely on your consent, on the performance of a contract or steps taken before entering one, on our legitimate interest in running and developing our business, or on compliance with a legal obligation.
Where we rely on consent, you can withdraw it at any time. Withdrawing consent does not affect processing carried out beforehand.
How long will ePhoton keep your data?
We keep your personal data for no longer than is necessary for the purpose it was collected for.
How long that is depends on the purpose. Enquiries that do not lead to a relationship are deleted once they are no longer relevant. Contract, tax and accounting records are kept for the periods required by law. Recruitment records are kept for a limited period after a process closes. You can ask us at any time to access, correct or delete the data we hold about you.
Who has access to your personal data?
Inside ePhoton, access is limited to those who need the data to do their job, and who are bound by confidentiality obligations.
1. With third parties
We share personal data with providers who support our business, including our website platform Wix, email and file storage providers, customer relationship and event tools, analytics providers, IT and security providers, banks and auditors, and professional advisers. Where a project involves them, we also share relevant details with partners, financiers and contractors.
These parties may use your data only for the purposes we specify, and are bound by contract to keep it confidential and secure. Where data is transferred to another country, we put in place the safeguards required by law, such as standard contractual clauses approved by the relevant authority.
We do not sell your personal data.
2. With judicial, public and/or law enforcement authorities
We may have to disclose personal data to courts, regulators, tax authorities or law enforcement agencies where the law requires it, where we receive a binding order, or where it is necessary to defend legal claims.
Before responding to any such request, we assess whether it is lawful and properly made, and we disclose only what is required.
What are your rights and how can you exercise them?
You may have the right to access your personal data, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw your consent.
To exercise any of these rights, email hello@ephotonenergy.com. We may need to verify your identity first. We will respond within the period set by law, normally one month. Exercising your rights is free, although we may decline to act on requests that are clearly unfounded or excessive, and we will explain why.
We do not make decisions about you by automated means alone.
If you are unhappy with how we have handled your data, please tell us so that we can put it right. You also have the right to complain to your data protection authority.
